Gym membership software that keeps every package straight

GetGymPOS gym membership software lets you create membership packages with a name, price and duration (monthly, quarterly, half-yearly, yearly or lifetime), sell them at the desk, and see each member's subscription with start date, end date, status and payment status on one screen.

Definition Membership package
A membership package is the product a gym sells for access over time: a name (for example "Monthly unlimited"), a price, a duration and, optionally, the classes it includes. When a member buys it, GetGymPOS creates a subscription with a start date and an end date, and tracks whether it has been paid.

How it works

How does memberships work?

  1. Create the package

Name it, set the price, choose the duration (monthly, quarterly, half-yearly, yearly or lifetime) and tick the classes it includes.

  2. Add or import the member

Type the member in at the desk or import your list from a CSV export of your old system. Health notes and diet can go on the profile.

  3. Sell the subscription

Pick the member, pick the package. The start date defaults to today and the end date is calculated from the duration.

  4. Take the payment

Record cash, card (through your processor), bank transfer, JazzCash or any custom payment method you add. Part-payments leave a visible balance.

  5. Watch renewals

The subscription list shows status and end date, so the desk can see who expires this week and renew them before they lapse.

Which membership types can I sell?

Anything that fits name + price + duration: off-peak, unlimited, couples, student, corporate, ladies-only timings, family add-ons. Durations are monthly, quarterly, half-yearly, yearly and lifetime, which covers the usual gym ladder of "1 month, 3 months, 6 months, 12 months".

Because each package is its own product, a price change for new members never changes what an existing member already bought.

What does the desk see on a member?

The member profile shows the subscriptions they hold (current and past), each with package, start and end dates, status and payment status, plus their attendance log, purchases, and printable member card. Health record and diet notes sit on the same profile for trainers.

How are unpaid or partly paid memberships handled?

Every subscription carries a payment status. If a member pays half today and half on Friday, the balance stays visible on the profile and in the subscription list until it is cleared, and you can add the second payment against the same subscription.

Can one member hold more than one package?

Yes. A member can hold a gym membership and a separate class pack, or a membership plus a personal-training block. Each is tracked on its own dates and payments.

Straight talk

What it doesn't do (yet)

Saying no up front saves you a bad surprise after you switch.

  • Membership freezes are handled by adjusting the subscription end date; there is no separate one-click "freeze" button.
  • Automatic card charging on renewal depends on your payment processor; GetGymPOS raises the renewal invoice and records the payment.
  • A members-only booking app is not included; members book through your website, WhatsApp or the desk.

Memberships: questions

What is gym membership software?

Gym membership software keeps the record of who has paid for access, for how long, and whether they are up to date. In GetGymPOS it sits on the same screen as the till, check-in and retail, so the desk never has to switch apps to answer "is this member active?".

Can I offer monthly, 3-month, 6-month and yearly memberships?

Yes. Package durations are monthly, quarterly, half-yearly, yearly and lifetime. Create one package per price point and sell whichever the member chooses.

How do I import my existing members?

Export members from your current system as a CSV (name, phone, email, package, start and end dates) and import them. On every plan we do the migration for you at no charge; see switching to GetGymPOS.

Can members pay in instalments?

Yes. Record a part-payment now and the rest later against the same subscription. The outstanding balance shows on the member and in the subscription list.

Does it print member cards?

Yes. Each member profile can generate and print a member card for the desk or the member's wallet.

Can I see who is about to expire?

The subscription list shows every member's package, end date and status, so you can sort or filter for the ones ending this week and contact them before they lapse.

Is there a limit on the number of members?

No. Every plan has unlimited members. Plans differ by staff logins and locations; see pricing.

Can I charge a joining fee?

Yes. Add the joining fee as a product and ring it up on the same sale as the first membership, or build it into a "first month + joining" package.
