Opening a gym or studio in Dubai means getting a few things right before the first member walks in: prices that include VAT, tax invoices with your TRN, payment methods members expect, and a front desk that works in more than one language. This checklist covers the software side. It is not legal or tax advice; confirm the details with your accountant and the authorities.
Checklist at a glance
- Decide your prices including 5% VAT.
- Add your TRN to receipt and invoice layouts.
- Set up payment methods: card, Apple Pay, bank transfer, cash.
- Choose interface and receipt languages for your team.
- Build packages, including summer and Ramadan options.
- Plan for peak seasons and late-night timetables.
1. Price with VAT included
The UAE’s standard VAT rate is 5%. Consumer-facing prices are expected to include it, so members see one final price. If your monthly membership is AED 299 including VAT, the VAT portion is about AED 14.24 and the net is about AED 284.76; your invoice shows both.
In GetGymPOS you can enter prices including tax and set the 5% VAT rate on each product, so receipts and the tax report split it correctly. Official guidance lives with the Federal Tax Authority (see our countries page for the official link).
2. Put your TRN on invoices
Once registered, your Tax Registration Number appears on tax invoices. Add it to the invoice layout for each location. If you have branches in more than one emirate, each location can carry its own address and layout.
3. Payment methods members expect
Dubai members pay mostly by card and Apple Pay, with bank transfer common for quarterly or yearly memberships. Card payments run through a licensed processor and terminal from your bank or a payment provider; GetGymPOS records the payment against the sale. Cash is still used, so set up a cash drawer and end-of-shift cash-up.
4. Languages at the desk
A typical Dubai team might include Arabic-speaking reception, coaches from the UK, the Philippines, India or Pakistan, and members from dozens of countries. In GetGymPOS each user chooses their interface language, and receipts can print in Arabic (right to left) or English. Our languages page explains the options.
5. Packages that match Dubai’s year
Dubai’s fitness year has two big shifts:
- Summer (June to September): outdoor training stops and indoor demand rises. Short summer memberships or pack bundles sell well.
- Ramadan: training moves to late evening after iftar. Create Ramadan classes with start and end dates and adjust staff hours.
Ladies-only gyms and timings are common; create separate packages for those timings so attendance and income are tracked separately.
6. Software checklist
Before opening day, your system should:
- Sell memberships, class packs and drop-ins with VAT-inclusive prices.
- Record check-ins with in and out times.
- Sell retail (water, supplements, merch) with stock tracking.
- Calculate trainer commission.
- Print tax invoices with your TRN.
- Report VAT collected for your returns.
- Run in Arabic and English.
GetGymPOS does all of these from AED 229 a month including VAT. See UAE pricing and the Dubai page.
Opening-week plan
- Two weeks before: create packages, import founding members, add retail stock, print member cards.
- One week before: train the desk on check-in and sales; print test receipts in Arabic and English.
- Opening day: check members in, take payments, run the end-of-day report.
- End of month one: review membership mix, renewals due and VAT collected.
