Most gyms in Pakistan still run fees from a register book: a name, a month, a tick. It works until a page goes missing, a member insists they paid, or the owner wants to know how much came in this month. This guide shows how to keep the simplicity of the register while getting proper receipts and a clear view of who owes what.
Key takeaways
- Record every payment, whatever the method: cash, JazzCash, Easypaisa, IBFT or card.
- Give a receipt every time, printed or sent on WhatsApp.
- Track each member’s end date and balance, not just “paid this month”.
- Keep data on a hosted system so power cuts and broken PCs don’t wipe it.
How do Pakistani gym members pay?
Cash is still the default at most neighbourhood gyms. Mobile wallets (JazzCash and Easypaisa) have grown quickly because they are fast and leave a record. Bank transfer (IBFT) is common for quarterly or yearly fees, and cards are used more in Islamabad and at premium gyms in Karachi and Lahore.
Whatever the method, the important thing is that every payment is recorded against the member, so the desk and the owner see the same picture.
Setting up payment methods
In GetGymPOS you add JazzCash, Easypaisa and bank transfer as custom payment methods. At the desk:
- The member pays in their wallet app to your account (or hands over cash).
- The desk picks the member, the monthly package, and the payment method.
- The receipt prints, or the desk shares it on WhatsApp.
GetGymPOS records the payment; it does not move money itself. That keeps it simple and avoids extra fees.
Receipts end arguments
A printed fee receipt with the gym name, member name, month and amount solves most disputes before they start. A small thermal printer is inexpensive, and receipts can print in Urdu. See the hardware guide.
Who hasn’t paid? Track balances, not ticks
The register book only tells you whether a box was ticked. Real gyms deal with part-payments (“half now, half on the 10th”), advance payments and members who pause for exams or travel. Track three things per member:
- Package and end date: monthly fee valid until the 5th of next month, for example.
- Payment status: paid, part-paid, unpaid.
- Balance: what is still owed.
In GetGymPOS each membership carries these, and the subscription list shows who is unpaid or expiring this week.
Load-shedding and connectivity
Desktop gym software stores data on one PC; when that PC dies, so does the record. Hosted software keeps data on servers with daily backups, so the gym’s power situation doesn’t matter to the data. To keep the desk working during outages:
- Put the internet router on a UPS.
- Keep a phone with a data package ready as a hotspot.
- Use a laptop or tablet with a decent battery at the desk.
Pricing in rupees
Software priced in dollars and converted is a poor fit for a gym charging Rs 4,000 to Rs 8,000 a month. GetGymPOS is priced in round rupees: Studio from Rs 4,900 a month plus applicable sales tax. See Pakistan pricing.
Sales tax
Sales tax on services is provincial in Pakistan, and goods carry federal sales tax; rules differ by province and item. Set the rates your tax adviser confirms on each product, and use the tax report for filing. FBR POS integration is not built into GetGymPOS today.
Moving from a register book
You don’t need a spreadsheet to switch. Send photos of your register pages or a simple list (name, phone, package, last paid month) and we import it as part of the free migration. See switching.
City notes
- Karachi: large chains in DHA and Clifton alongside hundreds of neighbourhood gyms.
- Lahore: premium clubs in Gulberg and DHA, strong martial-arts academies.
- Islamabad: growing yoga and studio scene, more card use.
